ChatGPT for Small Business Owners: Where to Actually Start

Most 'AI for business' advice is either terrifying or useless. Here are the boring, useful things ChatGPT is genuinely brilliant at — starting today.

The mindset that matters

Stop thinking of AI as a replacement for thinking. Think of it as a very fast, very patient assistant who's read everything but knows nothing about your business. You still make the calls. It handles the typing.

Every good AI workflow starts with you being clear about what you want. If you'd struggle to brief a human on the task, ChatGPT won't rescue you.

Ten things worth using it for tomorrow

  • Turning a rambling voice-note into a tidy client email
  • First-draft blog posts (that you then edit heavily)
  • Summarising long PDFs and reports
  • Writing product descriptions from bullet points
  • Drafting terms and conditions (get a lawyer to check)
  • Explaining a technical concept to a non-technical customer
  • Turning testimonials into social media captions
  • Meeting notes → action list → follow-up emails
  • Brainstorming 20 name/tagline/campaign options
  • Turning a job spec into interview questions

How to write a prompt that works

Bad prompts get bad output. The formula: role, context, task, format, constraints. 'Act as a friendly UK plumber writing to a homeowner. Their boiler broke on a Sunday. Write a text apologising for the callout fee, in under 60 words, no exclamation marks.'

You'll notice that's not much shorter than writing the text yourself the first time. The value shows up when you send it fifty more times with different scenarios.

Where AI still fails

Anything requiring live info about your specific business, current stock, recent events, or things that change often. Any legal, medical or financial advice. Long numeric calculations. And — critically — anything you can't personally verify. If you don't know whether the output is right, don't use it.
